Depending on how you interact with us, we may hold the following categories of personal data:

• Contact data: email address, phone number, postal address and postcode.
• Property & site data: details of the trees, property or land you ask us to survey, including photographs you send.
• Technical data: IP address, browser type and version, device information and pages visited (captured through analytics cookies, if you have consented).
• Communications data: records of emails, calls and messages between us.
• Supplier credentials: for arborists in our supplier network, the certifications, insurance and ID needed to verify competence.

3. Why We Process It

We process personal data under the UK GDPR on the following lawful bases:

• Contract: to deliver the surveys, reports and services you ask us to provide.
• Legitimate interests: to run, secure and improve our business, respond to enquiries and manage our supplier network.
• Consent: where you have explicitly opted in, for example to receive marketing emails.
• Legal obligation: to comply with regulatory, accreditation, tax and health-and-safety responsibilities.

4. Who We Share It With

We share personal data only with the following recipients, and only to the extent needed:

• The qualified arborist in our network allocated to your job.
• Insurers, loss adjusters and property managers where the survey is being commissioned on their behalf.
• Corporate partners and commercial clients who have instructed work for you.
• Cloud, IT, CRM and email service providers acting as processors under written contract.
• Regulators, government bodies, professional advisors and law enforcement, where we are legally required to disclose.

We do not sell or rent your personal data to third parties.

5. Retention

We keep personal data only for as long as we need it to fulfil the purpose it was collected for, to meet our regulatory and accreditation obligations (including ISO 9001 and ISO 14001), or to resolve any dispute. Typical periods: enquiry data 24 months, customer records 7 years (to satisfy HMRC and professional indemnity requirements).

6. Your Rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Have inaccurate data corrected.
• Ask us to erase your data, where applicable.
• Restrict or object to our processing of your data.
• Receive your data in a portable format.
• Withdraw consent at any time, where consent is the lawful basis we rely on.

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, secure cloud-hosted servers, password protection and access controls. Our staff and suppliers are bound by confidentiality obligations.
